Under Data Protection Principle 1 of the Personal Data (Privacy) Ordinance (Cap. 486), we must tell you, when we collect your personal data, why we are collecting it and who else may see it. This statement does not replace our Privacy Policy Statement; it is the notice that applies at the point of collection.
1. The website enquiry form
The form asks for four items. Two are obligatory and two are voluntary:

If you do not provide the obligatory items, we will not be able to receive your enquiry or reply to it. There is no other consequence: you are free not to use the form, and you may instead contact us by telephone or post.
Purpose of collection
The personal data you enter is collected and used for one purpose only: to receive, assess and reply to your enquiry, and for the related correspondence and record-keeping. We do not use it for any other purpose, and we do not use it for direct marketing.
How the form transmits your data
The form on this website is a convenience only. It does not transmit your data to our web server. When you press Send, your own email application opens with the message prepared, and the message is sent from your mailbox to ours. That means your data is handled by your own email provider as well as ours — please review your provider's own privacy terms if this matters to you.
Classes of persons to whom the data may be transferred
Your enquiry may be seen by our personnel who handle enquiries. As with all our personal data, it may also be accessed by our service providers acting as data processors (our email and document platform provider and our IT support provider) under contract, and may be disclosed to our professional advisers or to a regulator or court where we are required to do so by law. Our Privacy Policy Statement lists these classes in full.
Retention
If your enquiry does not lead to an engagement, we keep it for up to 24 months from our last contact, and then erase it.
Your rights
You have the right to request access to, and correction of, the personal data we hold about you. Under section 22 of the PDPO a data user who has complied with a data access request must, if the data is inaccurate, correct it. Requests should be made in writing to the Director, TMT Services Ltd, Central, Hong Kong SAR, or by email using the address on our Contact section. We will respond within the period prescribed by the PDPO, generally 40 days.
2. Business correspondence and client engagements
- Purpose
- To correspond with you, to provide the services you have engaged us for, to administer our professional records, and to meet our legal, tax and accounting obligations.
- Obligatory or voluntary
- Voluntary, but we cannot provide services without the contact and business information needed to do so.
- Classes of transferees
- As listed in the Privacy Policy Statement.
- Retention
- 7 years after the end of the engagement, or longer where the engagement requires it.
- Your rights
- Access and correction as above; a reasonable fee may be charged for a data access request as permitted by the PDPO.
3. Recruitment
If you apply to work with us, the notice on our Careers page applies instead. In summary: your application data is used for recruitment only, is seen by the people involved in hiring, is kept for up to 24 months for unsuccessful applicants, and is then erased.
4. Direct marketing
None of the data collected through this website is used for direct marketing. If we ever wish to use your data for that purpose we will ask for your consent first, tell you what we intend to do with it and how to opt out, and we will treat your silence as a refusal.
